Adding digital assets to the Asset Manager

Use these procedures to add digital assets to the Digital Asset Manager. Be sure you have already created a digital assets folder structure so that you can add assets to the desired folder.

Note: Be sure to size all of your photos, graphics and other digital assets to the correct size before making them available for use on your site.

Adding a single digital asset

  1. On the System toolbar, go to the System menu and select the Digital Assets Manager.

  2. Click Add Asset.

  3. Complete the asset information in the Add Single Asset section.

  4. Click Save.

  5. The Sites tab is used for indicating which sites the asset is to be made available on.

  6. The History tab keeps a record of the different versions of the asset file that have been uploaded to the ACM.

  7. The Usage tab shows the pages and workflows where the asset is currently in use.

  8. The Tags tab is used for adding metadata tags to the asset file. This allows images to be pulled and grouped dynamically based on tag values. Click Add to add a Tag. You will either be presented with a free-form text field into which you can type anything, or the Tag field will be that drop-down from which you must select a predefined tag. Tags and tag entry are configured as part of Setting global system variables.

  9. The Site Groups tab is where you select which groups of sites will have access to the new digital asset. You may have digital assets such as icons and logos that you want to make available to all site groups within your ACM. Then you may have other files that you only want to make available to certain site groups. This tab allows you this flexible control over the asset.

    On the Site Groups tab, check the
    Available in all site groups checkbox to make the asset available to all groups of sites. Or, check individual sites and/or site groups where you want this asset to be used.

Adding multiple digital assets

Use this procedure to upload a .zip file (Winzip) of digital assets to a single folder within the Digital Asset Manager. Note that this feature is only available within the Digital Asset Manager and is not available from within the HTML editor.

Before uploading, please note the following:

  1. On the System toolbar, go to the System menu and select the Digital Assets Manager.

  2. Click Add Multiple Assets.

  3. Complete the fields in the Add Multiple Assets section.

  4. Be sure the Active checkbox is checked otherwise the asset will not be available for users to add to their content.

  5. Click Save.

Note: If a digital asset being uploaded has the same name as an existing digital asset, the new asset will not be uploaded.
