Managing workflow folders

Workflows are organized into folders which are displayed in the same hierarchical tree structure as other folder types throughout the system. Folders are the containers used for organizing groups and assigning domains.

Creating workflow folders

Use this procedure to create a workflow folder. Generally workflow folders correspond to the major departments or sections of your organization, in a similar fashion as the group and digital assets folders. Within these folders, you create the workflows that will determine who creates, reviews, approves and monitors content changes.

  1. Be sure you are logged into the ACTIVE CM.

  2. From the Admin Center, open the Workflow Manager.

  3. Click Manage Folders.

  4. In the Manage Folders window, click Add Folder.

  5. Enter a Name for the workflow folder.

  6. From the Parent Folder drop-down, select the parent folder.

  7. Click Save.

Deleting workflow folders

Use this procedure to delete workflow folders.

Note: You cannot delete workflow folders if they contain workflows that are in use on active pages. You must first remove the workflows from the active pages, then delete the workflows, and then delete the folder.

  1. Be sure you are logged into the ACTIVE CM.

  2. From the Admin Center, open the Workflow Manager.

  3. Click Manage Folders.

  4. In the Parent Folder drop-down, click on the parent of the folder you want to delete.

  5. Locate the folder you want to delete in the list of folders.

  6. Check the Delete checkbox and click Save.

Finding workflow folders

Use this procedure to locate workflow folders.

  1. Be sure you are logged into the ACTIVE CM.

  2. From the Admin Center, open the Workflow Manager.

  3. Click Manage Folders.

  4. In the Parent Folder drop-down, locate the folder you want and click on it.

Moving workflow folders

Use this procedure to move a workflow folder to another location in the workflow folder structure.

  1. Be sure you are logged into the ACTIVE CM.

  2. From the Admin Center, open the Workflow Manager.

  3. Click Manage Folders.

  4. In the Manage Folders window, search for the Folder.

  5. Select the folder you would like to move.

  6. Click on the Parent Folder drop down and select a new parent folder.

  7. Click Save.
